What is an Outside Team?
The Outside Team Member (OTM) solution, allows members to link their Wise Agent to another agent's account through a team request that is sent via email. Once the accounts are linked, agents retain separate accounts but can share items like calendar appointments, transaction templates, marketing content, and contacts
Members can also grant an Outside Team member login access to their account. This is a great feature for brokers, team leads, or transaction coordinators who will be managing multiple agent accounts.
Managing Your Outside Team:
Below we'll cover how you can add and remove an outside team member and how you can grant login access with permissions to your account.
Adding an Outside Team Member:
Sending Team Request:
- Click the Gear button on the top right side of the page and click on "Outside Team."
- Under the "My Team" subheading, click on the plus icon.
- Enter the email address of the account you would like to send the request. You can also add a message to send along with your request.
Note: Outside team requests can only be sent to Agents with an active Wise Agent account.
Accepting Team Request: Once an account has sent an OTM request to another account, the receiving agent will receive an email notification from Wise Agent.
The receiving agent will need to click on the link provided in the email. This will log them into their Wise Agent account where they can respond to the request.
Once the request has been accepted both agents will now see the other agent listed under the "Outside Team" page in their Wise Agent account.
Removing an Outside Team Member:
To remove an Outside Team member:
- Click the gear icon on the top-right corner and select "Outside Team."
- Click the ellipses next to the team member and choose "Remove."
- Confirm removal by clicking "Delete."
Granting Login Access:
You can give an Outside Team member login access with either "Viewer" or "Editor" permissions. This is helpful for brokers, team leads, or anyone managing multiple accounts.
To grant login access:
- From the Outside Team page click on the menu icon on the team member contact card
- Click on "Grant Login Access"
- Select the access type (Viewer or Editor).
- Click Grant Access
- You will then be redirected to a permissions page to set permissions on your team member's access.
Outside Team Collaboration:
The Outside Team feature makes it easy to collaborate and share essential items. Here’s what you can share:
Calendar Appointments:
You can share calendar appointments with your team so they're where they need to be at the right time. To share an appointment go to your
- Click on the event you would like to share
- Click the Edit tab
- Click the "Share" link in the top right corner
- Select the team member and click Update at the bottom of the event.
Once the appointment has been shared with an outside team member, they will receive an email alert to accept the shared appointment.
Marketing Content:
Create and share market content with your team including letters/emails, newsletters, texts, and drip campaigns.
- Content Library Emails and Texts can be shared from the main content library page by clicking on the share icon.
- Drip Campaigns can be shared by clicking on the "Share Campaign" button on the Program Details screen.
Transaction Templates:
Transaction templates ensure consistency in your workflow. Share templates with your Outside Team to keep everyone on the same page.
Commission Tracking:
Invite Outside Team members to view or edit commissions:
- In the Commission Tracker, click the "Invite" tab
- Then on the Outside Team" drop-down menu choose the team member(s) and set their permissions (Viewer or Editor).
Once a team member has accepted the commission request you can also transfer ownership of a commission to an Outside Team member, changing your access to "Viewer."
Contacts:
Sharing leads and contacts is one of the most critical functions for any real estate brokerage or team. Wise Agent's contact sharing makes it easy for you to instantly share and track a contact record and important client updates with your team.
To share contacts:
- Select the contact(s) from your contact list.
- Click "Actions" and choose "Share Contact."
- Pick the team member to share with then click "Share" to send the request.
You can also share individual contacts from the Contact Summary page through the actions drop-down.
💡 Pro Tip: When sharing a contact record, to an OTM be sure to select the "track leads" checkbox to see OTM interactions with shared leads.

Lead Distribution with Outside Team Members:
As mentioned in the previous section, sharing leads and contacts with your team is a critical feature that should be available through your CRM. Outside Team members can set up
automated lead distribution to their team through the Lead Rules within Wise Agent's Lead Management page.
How to Add OTM Lead Distribution:
- On the Lead Management page, create or edit a lead rule.
- Under the "Distribution" tab, create a filter and choose your filter type: day of the week, zip code, or price range.
- Choose the distribution method: round-robin, shark tank, or assign leads to all selected team members.
- Select team members to receive leads. You can choose both Inside and Outside Team Members.
💡 Pro Tip: You can create multiple distribution filters, but avoid mixing filter types (i.e price range and zip code), as they may conflict with each other.
Tracking Shared Contacts and Leads:
To find a list of your shared contacts and leads follow the steps below:
- Go to the Contact List page.
- Use "Advanced Filters" to search by the Outside Team filter.
- Search for "Leads Sent to Outside Team" and select the team member.
- To view interactions, go to the contact summary page and select "Activity."
Revoking Access to Shared Contacts and Leads:
You can also track and manage shared leads and contacts from the Lead Tracker page.
To revoke access to a shared lead or contact:
- From the "Outside Team" page, go to the "Lead Tracker" tab.
- Find the lead you want to revoke, click the ellipses next to it, and select "Revoke."
💡 Note: You can only revoke access to leads you've distributed or contacts you've selected to track.
Team Alerts:
Wise Agent will always send an email notification when a new item is shared or accepted by an outside team member. You can view new team alerts while logged into Wise Agent by clicking on the notifications bell icon on the top right corner of your account and selecting the team alerts tab to review new shared items.
